General Purpose

The Purchasing Assistant is responsible for obtaining quotes for cost and lead-times, creating POs for materials and supplies, sending POs so suppliers by email or fax, progressing deliveries and chasing late suppliers, and monitoring stock levels and re-ordering consumables.


Essential Functions


  • Create and process Purchas Orders in Oracle
  • Faxing and sending of POs to suppliers.
  • Monitoring the progress of deliveries against POs
  • Chasing late delivers from suppliers.
  • Monitoring of minimum stock levels and ordering of manufacturing consumables
  • Ordering inventory control in Oracle
  • Stock level and inventory audits
  • Progress tracking of shipments and reporting of delays
  • Evaluate quotations and liaise with suppliers on cost, delivery, and quality
  • Participate in regular, formal liaison with other procurement staff and customers to ensure pro-active purchasing.
  • Expedite overdue orders
  • Assist Oracle users with any Requisition or Purchase related issues
  • Facilitate the purchasing of raw materials, equipment, machinery, and supplies at the most favorable prices consistent with desired quality, quantity, delivery, and other factors.
  • Identify opportunities for cost/service improvements and works with own and other teams to implement agreed changes.
  • Maintain integrity of internal computer purchasing systems. (Oracle).
  • Ensure all information on Purchase Order is complete and provide any additional information to Supplier
  • Manage allocated suppliers
  • Adhere to the Quality Standards as prescribed by ISO 9001 and TQM principles
  • Ensure completion of transactions on system for returns to suppliers
  • Create and maintain supplier files
  • Report on KPI’s for measurement of performance of suppliers
  • Perform supplier Audits and ensure effective supplier selection
  • Perform other duties as may be directed by the Company from time to time.

Qualifications


  • The right to work in Australia
  • Purchasing administration in a manufacturing environment using ERP systems
  • Knowledge of and experience with the use of part numbering, revision, batch, and serial number systems.
  • User experience of Oracle or SAP purchasing and finance modules
  • BPICS accredited training in materials control or purchasing
  • Computer literacy – integrated system.
  • Excellent communication skills
  • Experience in sourcing products from International Suppliers.
  • HSC and/or Formal Purchasing Materials Management qualification or equivalent.
